Impactful communication skill is the difference which makes a difference. This includes oral interpersonal communication, presenting to a group and written communication like report writing.

Communicating well with seniors, juniors, customers and stake holders; making presentations audience centric and writing effective reports are skills vital for individual and organization’s growth.

Two-way, congruent communication and listening skills facilitates smooth functioning of the department and organization.

There may be a few ‘natural born’ presenters, however the majority of us have to learn how to present before a group. Brilliant technical ability and job know how is not adequate at the workplace. The fear of speaking to a group is learned; therefore, this fear can be unlearned. These skills can be acquired with practices & training inputs.

Business writing skills gives employees an edge over the others. Writing a business report involves a structured process that begins with understanding the report’s purpose and the receiver, followed by some research, outlining, drafting, reviewing, and finalizing. Effective business reports are clear, concise, and focused on presenting objective findings and recommendations.

Objectives:

  1. To strengthen participants communication skills at all levels- interpersonal, presentation and report writing skills
  2. To improve skills to make audience centric presentations with techniques like eye contact, involving the audience, vocal variety and adapting to the situations e.g. only highlights when time is limited
  3. To strengthen effective report writing skills: clear, concise, fact based and reader centric
  4. To increase the confidence level of participants through NLP (Neuro Linguistic Programming) techniques and other inputs when making presentations and when communicating

1.Communication Skills:

– Importance of Communication Skills
– Nuts and Bolts of communication: 2-way communication
₋ Clarifying, Appropriate Body Language, Importance of eye contact and Nonverbal aspects of communication, effective use of voice
₋ Different types of Listening Skills, difference between listening and hearing, active listening a basis for counseling juniors

2. Presentation skills:

₋ Designing Content of Presentation Skills: Introduction, Body & Conclusion
₋ Effective use of voice – techniques to put colour, vigour and strength in voice
₋ Presentation Skills Inputs: Topic preparation, Content and Effective Delivery
₋ To develop platform skills– self-assured body language, eye contact, purposeful movement
₋ Delivery of presentation – intelligent use of voice, eye contact, interactive & energetic presentation, body language and others
₋ Appropriate body language when making presentations –stands erect, makes eye contact with the audience, anchoring, creative visualization, presents without looking at the PPT.
₋ Makes audience friendly, power point presentation – no crowded screens – minimum text
₋ Difference between a Mediocre and a High Impact Presentation – Special NLP (Neuro Linguistic Programming) techniques like multi-level Rapport building & Modeling techniques

3. Business Report Writing:

Key Elements:

₋ Title, Introduction, background information, purpose & target audience. A clear and concise title
₋ Make an outline:
1. Introduction: Cover roadmap of content
2. Body: Presents the main findings, analysis, and supporting evidence; clear, concise, objective writing based on facts.
3. Conclusion: Summarizes the key findings, provides recommendations, and outlines the implications for the business.
4. Table of Contents: Facilitates navigation and helps the reader quickly find specific information, include graphs, tables, charts

Review and revise the report from reader’s perspective & proof read

Seek Feedback:

Ask colleagues or peers to review the report for clarity, objectivity, and effectiveness.

Speaker:

Dr. Lata Shetty is the founder of Mainstream HRD Training Centre. She has conducted more than 70,000 batches in more than 150 companies and organizations with 25 years of experience. Her qualification is B.Sc., M.S.W, and Ph D from Tata Institute of Social Science, Certified NLP Practitioner. Dr. Lata Shetty is a Resource person at the Bombay Chamber of Commerce and Industry for the last 20 years. She is a regular faculty at several training centres of financial institutions like SPBT and BSE. She was a Columnist in Lok Satta – Lok mudra on HRD topics for 2 years; a Faculty at Orchid a Finishing School; faculty at Tata Institute of Social Science, visiting faculty at Somaiya Institute of Management. Worked as Head of Welfare Department in Godrej & Boyce for 4 years.
